Conduct an audit

Here's how to record findings cleanly, keep track of your progress, and have the result ready to print at the end – all without having to stop the audit.

Prerequisites

  • The audit has been created and a question catalogue is in place
  • You are assigned as the auditor

Answering questions

The question catalogue is displayed in the content area of the process below the description. Work through each question individually. You will see the question itself and a hint text for each one.

Enter the following information for each question:

  • Finding: The actual situation you encountered.
  • Rating: Choose the value that best describes what you found.
  • Justification: Your reasoning for the rating you selected.
RatingMeaning
ConformantThe actual situation meets the requirements.
ObservationThe actual situation broadly meets the requirements, but you have a comment or suggestion for improvement.
Minor nonconformityThe actual situation deviates slightly from the requirements.
Major nonconformityThe actual situation deviates significantly from the requirements.
Not applicableThe question is not answered. Only available if the question was marked as optional when the question catalogue was defined.

You can also attach files, link pages, and link other processes to each question to add evidence or supporting information directly where it's needed.

Good to know: Use the coloured circles above the question catalogue to filter questions by rating, for example to focus on all questions with a minor nonconformity.

Keeping track of progress

The right-hand panel shows you at any time how far you are through the question catalogue, without having to scroll through every question individually. The progress display uses the same colour logic as the ratings, so you can see at a glance where open or critical items remain.

Commenting and linking

Below the question catalogue you can use Comments to communicate with your team, for example to clarify questions or share interim results. You also have the following options for the audit as a whole:

  • Attach file
  • Link pages
  • Link process
Good to know: Notice during the audit that a question is missing or needs to be adjusted? No problem, you don't need to stop the audit to do this. Use the three-dot menu in the audit to select Edit question catalogue and update or extend it at any time. Changes to the content of individual questions can also be made this way.

Exporting or printing an audit

Once you have completed the audit, you can save the result as a PDF or print it, for example for your audit documentation or as evidence for external auditors.

To do this, open the three-dot menu in the top right of the audit view and select Print. You can then print the audit or save it as a PDF using your browser's print function.

The same menu also lets you edit or remove the question catalogue and delete the entire audit.
